Connect HubSpot
Before you start
- A HubSpot account with at least one deal pipeline.
- In HubSpot: Super Admin or App Marketplace Access, to approve the app.
- In FlowState: the owner or admin role.
- The HubSpot feature is on under Settings → Features. Every feature of a new tenant starts off; see Turn on features.
Connect
- In FlowState, open Settings → Integrations → HubSpot.
- Click Connect HubSpot. HubSpot’s consent page opens in the same tab and lists the permissions FlowState asks for.
- If you manage several HubSpot portals, check that the correct portal is selected.
- Click Connect app.
Result:
- HubSpot sends you back to Settings → Integrations → HubSpot, with the message HubSpot connected. The first sync has started.
- The page shows your portal, a connected badge, and the Granted scopes.
- The first sync starts. Follow it on Apps → HubSpot → Overview, in the Sync & Analysis card. How long it takes depends on how many deals your portal has.
- When the first sync finishes, you get one email with the number of deals imported (or the reason it failed), and a Slack direct message if your tenant uses Slack. You can turn this off with the category Your first HubSpot sync finished (see Categories).
To check the connection later, click Test connection on the same page. It shows your newest open deal.
AWS Partners: create the APN deal properties
Connecting does not create any properties in HubSpot. If you use the APN integration:
- On Settings → Integrations → HubSpot, click Provision properties.
Result: the APN deal properties list shows every property FlowState created in the
flowstate_apn group. You can click Provision properties again at any time. It never
deletes a property or changes a value on a deal. See
Custom properties.
Show the FlowState card on deals
The FlowState card (FlowState APN Sync) is where sellers work on a deal with AWS; see The HubSpot card. Connecting HubSpot does not add it to the deal record. HubSpot shows an app card in the middle column of the record, in a default tab or in a custom tab (app card reference ), and FlowState cannot choose the tab for you. A HubSpot admin does this once per record view:
- Open any deal in HubSpot and click Customize on the record.
- Add a tab named FlowState (add tab icon, enter the name, Done). A record can have at most five tabs, including Overview (Customize records ).
- On the FlowState tab, add a card. In the card library, show the app cards and select FlowState APN Sync.
- Make sure the card is not on the Overview tab. If it is there, open the card’s three-dots menu and select Remove card.
- Click Save and exit.
- Repeat for every team view. A new team view starts from HubSpot’s system default, not from your customised default view, so it does not have the FlowState tab.
Result: open any deal that uses the view and select the FlowState tab. The card says This deal is managed by FlowState.
