HubSpot overview
HubSpot is the first integration you connect. FlowState reads your deals to fill the pipeline pages and the FlowState card, and, for AWS Partners, to keep deals in sync with AWS Partner Central. You connect with HubSpot OAuth, which gives FlowState scoped access that you can revoke at any time.
What FlowState reads
- Deals — the deal properties, including stage, close date, amount and owner.
- Pipelines and stages — to analyse stage velocity and to map your stages to AWS stages.
- Deal activities — the notes, emails, calls, meetings and tasks associated with a deal, to see how recently a deal was worked on and to summarise it.
- Owners — so pages and alerts show the owner’s name.
- Contacts associated with a deal — first name, last name and job title, for the AWS opportunity.
- The company associated with a deal — name, website, country and industry, for the AWS opportunity.
FlowState reads only the HubSpot portal linked to your tenant. It does not read marketing data, and it reads contacts and companies only when they are associated with a deal. See Permissions & scopes for each permission.
When FlowState reads
- Once a day, at the time shown under Settings → Schedules. When the schedule is first created, FlowState picks a random time between 01:00 and 05:45 UTC. You can change it.
- Right after you connect, for the first sync. How long it takes depends on how many deals your portal has. When it finishes, the person who connected HubSpot gets an email (and a Slack direct message if your tenant uses Slack).
- When you click Sync pipeline on Apps → HubSpot → Overview.
- When a deal changes, for AWS Partners: HubSpot tells FlowState right away when a deal’s name, stage, close date, amount or one of the APN properties changes. FlowState then sends the change to AWS Partner Central, usually within a minute, once the deal has been submitted to AWS.
What FlowState writes
- APN deal properties — FlowState writes the APN sync status and the AWS review results
only to its own properties in the
flowstate_apngroup. It does not change your other deal properties. You create these properties with Provision properties; see Custom properties. - AWS team members as contacts — when AWS assigns people to your opportunity (for example the AWS account manager), FlowState adds each person as a HubSpot contact on the deal, matched by email address, so no duplicates are created.
- Company records for deals from AWS — when a deal is created from an AWS invitation, FlowState links it to the client’s company, and creates the company only if none matches.
- Notes on the deal timeline — the results of each sync with AWS.
Connection status
Settings → Integrations → HubSpot shows one of two states:
| Status | Meaning |
|---|---|
| connected | FlowState has a valid authorisation for your portal. |
| Not connected | HubSpot was never connected, or an admin disconnected it. |
If HubSpot revokes the authorisation on its side (for example, a HubSpot admin uninstalls the app), the status still shows connected until the next sync fails. See Troubleshooting.
Disconnecting pauses APN sync
Every APN sync reads from or writes to HubSpot, so disconnecting HubSpot pauses APN sync. The APN connection itself stays. Settings → Integrations shows paused — HubSpot disconnected, and the manual APN sync buttons are refused while the pause lasts. AWS changes that arrive during the pause are not applied. When you connect HubSpot again, APN sync resumes and catches up in both directions. See Disconnecting.
