Data export

You can download a copy of the personal data that FlowState keeps about your account. This is your right of access under GDPR Article 15. See GDPR for what the export contains.

Request an export

1. Open Account → Data export.
2. Click Request export.
3. The new export appears at the top of Your exports. FlowState prepares the file in the background. The page shows In progress and checks the status every 2 seconds. You can leave the page.
4. When the file is ready, FlowState sends you the email Your data export is ready. The email links to the Data export page for this export. It does not contain the file or a download link.

You can request 3 exports per day. While an export is in progress, you cannot request a new one.

Your exports

Account → Data export shows your 10 most recent exports, newest first. Each export shows the time you requested it and its status: In progress, Ready, Failed or Expired. When you open the page from the email link, the export from that email is highlighted.

Download the export

1. Open the link in the email, or open Account → Data export.
2. Find the export in Your exports and click Download.

Each click gets a new download link that is valid for 60 seconds, so click Download again if the download does not start. Your browser saves the file as flowstate-export-<id>.json.

FlowState keeps the file for 7 days after you requested the export. Each ready export shows Available until with the date and time of deletion. After that, the export shows Expired and has no Download button. To get your data again, request a new export.

What the file contains

The file is JSON. It has these sections: profile, memberships, organisations, organisation_invites, notification_preferences, sessions and past_exports, plus format_version and exported_at. Memberships show the names of your tenants and organisations, not only their IDs. See GDPR for the fields in each section.

If the export fails

If the page shows Failed, the export did not complete. Request a new export. An export that is still In progress after 10 minutes is also shown as failed, and you can request a new one.
